Job Role: Procurement Administrator
Location: Luton, 3 days in the office
Hours: 35 hours per week, Monday to Friday

- Provide a high standard level of service regarding any external supplier queries and internal property manager queries, providing appropriate responses and support
- Act as main point of contact for all Procurement and Supply Chain inboxes
This role reports to the Asset compliance and Procurement Operations Manager and working within a team of up to 10 colleagues.
Main Responsibilities
- Act as the first point of engagement for the New Supplier Request (NSR) process, triaging all enquiries to the appropriate teams and responding to queries in a timely manner.
- Monitor and help out with the other Procurement mailboxes when the need arises.
- Maintain the incoming mailbox to ensure all requests are responded to and tracking and monitoring that subsequent actions are completed.
- Liaise with contractors/suppliers over the phone or email as part of the PQQ/onboarding process
- Set up contractors/suppliers onto P2P and any other internal systems.
- Amend contractor/supplier records on all internal systems
- Extract key data spend reports for Category Buyers from various systems including PowerBi.
- Source existing contractors and non-approved contractors for Ops from the SafeContractor portal
- Liaise with SafeContractor, our partner, regarding any onboarding/accreditation queries
- Create and send response letters on behalf of the Procurement Department.
- Task manage escalated requests using appropriate communication methods.
- Take meeting minutes when required.
- Attend weekly team meetings.
Skills and Experience
- Demonstrable experience of delivering an exceptional service to internal stakeholders and external suppliers.
- Confident, articulate communicator – both orally and in writing; able to build relationships with all types of internal customers, key stakeholders and suppliers with a resolution focused mentality, creative in your approach.
- Able to work with autonomy and as part of a wider team
- Efficient in maintaining administration and record keeping electronically
- Demonstrable ability dealing with problems and challenges effectively.
- Ability to work under pressure deadlines, able to prioritise and manage time effectively.
- Excellent IT skills, social-media awareness and up to date with new technology
