Facilities Team Administrator

Location: Euston / Hybrid
 
Salary: £25,000 
 
Hours: Monday - Friday 9 to 5 

The Facilities Coordinator - will contribute to the efficient operation and effectiveness of all departments by providing a comprehensive and efficient service to external and internal clients in order that the business objectives of the department are meet.

Preferred Skills, Qualifications and Experience:

  • Ability to work under pressure and meet tight deadlines whilst maintaining a high attention to detail.
  • Good computer skills with knowledge of Microsoft office tools, including Excel and Outlook.
  • Ability to communicate at all levels with strong customer service skills, whilst acting as a point of contact for facilities and other internal departments.
  • Great team player with a can do attitude along with ability to work at times without supervision.
  • Well-organised and skilled in effective time management.
  • Ability to work in a very dynamic environment with changing priorities.

    Key responsibilities will include:

  • Supporting facilities teams with administrative tasks.
  • Data reporting
  • Coordinate with internal business support teams
  • Ensuring filing systems are maintained and kept up to date
  • Arranging visitors fobs / keys for contractors ( liaise with offices to ensure keys are ready and available for any works to take place)
  • Regularly checking and keeping update furniture asset list
  • Coordinate minor office and equipment moves where required
  • Providing support for all general department activities
  • Escalate and update on outstanding work orders
  • Maintain and update records of all contractors and suppliers
  • Update servicing activities and planned maintenance records regularly
  • Covering team members on annual leave
  • Administer, process, and approve requisitioning of purchase orders and financial documents.
